Purpose of the job
Under the supervision of Real Estate Development, le.la incumbent will be responsible for supporting management in their day-to-day administrative tasks, in the coordination of schedules and planning of visits, while maintaining the efficiency of operations.
Description of tasks
- Plan monthly real estate committees: Preparation of the agenda, booking of rooms, posting of documents on DiliTrust;
- Enter new projects approved by the committee into the internal and Lucernex systems (Leasing section), ensuring that CAPEX is systematically included;
- Ensure the follow-up of lease documents with the various stakeholders;
- See with the Vice-President, Sales all files related to the rental of temporary storage space;
- Validate with the Vice-President, Sales the availability of outdoor signs, mainly for the Warehouse banner;
- Prepare business cases for real estate committee meetings, in collaboration with relevant stakeholders;
- Participate in the weekly project follow-up meeting with the Vice-President, Sales and her team;
- Manage and ensure the availability of retail spaces;
- Coordinate various interdepartmental meetings, including the preparation of agendas and follow-ups, as well as drafting the minutes of the real estate committees for the members concerned ;
- Identify and organize rental opportunities, maintaining updates for monthly meetings;
- Ensure the follow-up of documents circulating between departments and the various stakeholders, including financial analyses, plans, leases/amendments, deal sheets, photos of spaces, vacancy rates, etc.;
- Compile and structure data in Excel while keeping files up to date;
- Safeguarding leases and associated documentation;
- Digitize all important documents, making any necessary changes in the lease management system;
- Administer renewal and non-renewal notices;
- Book flights to Canada and the United States.
Your profile
- Organization and rigor: You efficiently manage several files at once, while ensuring rigorous follow-up of documents and deadlines.
- Communication and coordination: You facilitate collaboration between teams, prepare meetings and ensure the link with our partners, even internationally.
- Proficiency in tools: You are comfortable with Excel, Outlook and document management systems to structure and keep data up to date.
- Autonomy and proactivity: You take initiative, exercise good judgment, and adapt easily to changing priorities in the real estate industry.
Requirements
- Degree in secretarial work, law, finance, real estate or any other related field;
- Advanced proficiency in Microsoft Office software (Word, Excel, Outlook);
- Bilingualism essential - French and English, spoken and written (The person will have to deal with people outside Canada);
- Excellent organizational and planning skills;
- Autonomy, initiative, good judgment and resourcefulness;
- Knowledge of leases (an asset);
- Strong interest in real estate and/or retail;
- Excellent communication skills;
- Ability to manage stress and adapt to changing priorities;
- Great attention to detail;
- Proactivity and ability to take initiative.
